How to remind customers about unpaid bank transfer orders in Shopify

Updated 2 November 2026 · 4 min read

A customer orders, picks bank transfer, and the order sits at Payment pending. Most pay within a day or two. Some forget. Shopify won’t remind them for you, so the question is how to do it without spending your mornings on it.

Why Shopify doesn’t remind these customers

Shopify’s own payment reminders only go out for orders with payment terms, such as Net 30 or a fixed date. An order paid by bank deposit, money order or a method you named yourself (“Vorkasse”, “Rechnung”) has no terms, so nothing is sent.

What a good reminder contains

  • The order number and the amount still due, as the customer saw them at checkout.
  • Your bank details, each on its own line: account holder, IBAN, BIC and the reference to use.
  • A way to say “I’ve already paid”, because some will have — transfers take a day or two to arrive.
  • A plain subject that names the order. No capitals, no exclamation marks, no promotions.

When to send

Three reminders are enough: a friendly one after a few days, a firmer one after a week and a last one after two weeks. Send them on weekday mornings in your store’s time, and never more than one a day to the same customer.

Doing it by hand

In your Shopify admin, open Orders and filter by payment status Pending. For each order, open it, choose Collect payment and then Send invoice, and add your bank details to the message. Keep a note of who you reminded and when.

Doing it with ReminderClerk

ReminderClerk does the same thing on a schedule: it picks the unpaid orders, has Shopify send its invoice email with your text on days 3, 7 and 14, and stops when the order is paid. Every reminder links to a page with your bank details, a bank QR code where the order’s currency allows one, and “I’ve already paid”.

Let Shopify send the reminders for you

ReminderClerk is $14.99 a month, with a 14-day trial, billed through Shopify.
